  • What is Fiscal Onboarding?

    We have special fiscal trainings just for you to learn important skills for your position. You will meet other new employees and the core office personnel who will be able to answer your questions.

    These trainings are designed to welcome new fiscal staff across the University of Florida and provide a high-level overview of important financial information to get you started. Our objective is to introduce key fiscal concepts at the University of Florida, provide access to resources and tools, aid in allowing new fiscal staff to create connections with others in similar situations to their own, and help you understand how the Finance & Accounting core offices can assist you as you learn your new role.

    HR Onboarding (UF Human Resources)

    The Fiscal Onboarding training sessions will take place virtually using Zoom. Registration is required for all sessions.

    Financial Basics at the University of Florida (CFO110)

    This training is designed to welcome new fiscal staff across the University of Florida and provide a high-level overview of important financial information to get you started. Our objective is to introduce key fiscal concepts at the University of Florida, provide access to resources and tools, aid in allowing new fiscal staff to create connections with others in similar situations to their own, and help you understand how the Finance & Accounting core offices can assist you as you learn your new role. Topics that will be covered in this course include:

    • An overview of University of Florida fiscal information
    • Defining the importance of Fund Accounting at UF
    • Connecting UF’s fund sources to “Fund Codes”
    • Providing information about the “Basic Six” ChartFields
    • Understanding the importance of internal controls

    These activities are common tasks that most fiscal staff are exposed to at the University. Scenarios presented in these exercises are intended to prepare fiscal staff to perform processes on their own with a level of comfortability. Appropriate core office staff will lead sessions to ensure all questions and concerns are addressed and to guide participants through each scenario.

    General Accounting and Financial Reporting (CFO115)

    General Accounting and Financial Reporting is responsible for the maintenance of ChartFields and Combination Codes, the review of general ledger (GL) activities and the timely closing of accounting periods. In addition, the office processes GL journal entries for cash transfers, inter-departmental transactions and expense corrections and reviews the accuracy of monthly financial reports. Participants will have the opportunity to partake in activities intended to familiarize new fiscal staff with ChartField.

    Cost Analysis (CFO122)

    This session will provide information related to Cost Analysis department within F&A. Cost Analysis assists UF departments regarding effort and space reporting, myUFL entry of sponsored commitments, research payment, and development of F&A rate data. Participants will have the opportunity to take part in two activities intended to familiarize new fiscal staff payroll and effort commitments.

    Disbursements (CFO114)

    The primary responsibilities of Disbursements are managing the electronic Accounts Payable and supplier sub-systems and ensuring that suppliers, travelers, University departments and others are paid timely and accurately, and in accordance with applicable laws, regulations and University requirements. Participants will have the opportunity to partake in two activities intended to familiarize new fiscal staff with adding a new supplier in myUF Marketplace and paying an encumbered invoice in myUF Marketplace.

    Data Literacy (CFO126)

    Data is the University’s most powerful asset. This session is designed for new fiscal staff to be empowered to be data curious, show how financial data flows, and their role in curating that data. Participants will also partake in two activities intended to familiarize them with how to leverage data in their roles.

    Procurement (CFO123)

    This session will provide information related to the procurement process at UF. UF Procurement policies are in place to ensure UF receives the best value and to mitigate risks when buying an item. Procurement is the only department with signature authority. Participants will learn about purchase orders, quote thresholds, and contracts in place with UF. Participants will have the opportunity to solve three scenarios where items need to be purchased using the UF procurement process.

    Payroll Services (CFO118)

    The primary responsibilities of Payroll Services are processing the Human Resource and Student Employment data to pay University employees, as well as certain non-wage payments made via the myUFL Payroll and Time & Labor modules. Participants will have the opportunity to partake in two activities intended to familiarize new fiscal staff with Approving Time and Termination and New Hire.

    Banking & Merchant Services (CFO117)

    Banking & Merchant Services is responsible for cash management of the University.  This includes banking administration, managing investments, receiving and depositing University revenue and reconciling University bank accounts. Participants will have the opportunity to partake in two activities intended to familiarize new fiscal staff with Check and Credit Card Deposits.

    UF Research Overview – Pre and Post Award (CFO 124)

    This session will provide an overview of The Division of Sponsored Programs and Contracts and Grants Accounting Services – offices within UF Research available to aid campus with pre and post award management. Participants will have the opportunity to meet with representatives from both core offices for an open discussion as well as to partake in pre and post award exercises.

    Asset Management (CFO 125_ILT)

    This course provides an overview of Asset Management and UF Surplus within Finance and Accounting. Asset Management is responsible for tracking and accounting all assets for UF from acquisition to disposal. UF Surplus manages the disposed of property and assists in UF sustainability efforts by reusing or reselling surplus property. Participants will have the opportunity to learn about the Asset Life Cycle and how Asset Management fits within their role. They will also get to answer several surveys during the course and participate in a scenario where items need to be shopped from the warehouse.
